On October 16, 2007, the TAA Board of Directors will select qualified applicants to be presented to the membership at the December 2007 meeting in Nashville for consideration as the new Executive Director of the TAA.
Applicants may be individuals, organizations, or companies. Currently we have one Member considering submitting an application and a proposal is being submitted by the NAA (National Auctioneers Association).

Below is section 3.05 of the TAA Policy and Procedures Manual which describes the duties of the Executive Director. Section 3.05 Executive Director
- The duties of the Executive Director include:
- Administration:
The Executive Director
- is responsible for the daily operations of the Association.
- coordinates and supports the Board, its Chairman and committees in carrying out responsibilities; assists at the requests of committee chairs in carrying out committee activities, provides general advice and guidance to the Board and officers and consults with them regarding problems, concerns and activities of the Association.
- responds to general correspondence; answers TAA telephone inquiries, maintains files, provides information to membership on an as needed basis, and maintains historical records.
- replies to email and telephone calls within 24 hours (Friday calls are returned by the following Monday).
- maintains the permanent mailing address for the association. Office hours are Monday through Friday from 8:30 a.m. until 4:30 p.m.
- maintains the association’s toll-free (800) number.
- Board Meetings/Membership Meetings:
The Executive Director
- represents the Association at meetings, at the direction of the Board of Directors.
- attends all Board of Directors meetings.
- mails notice of Board of Director meetings, including minutes from the past meetings and financial statements, to each member of the Board no later than ten (10) days before date of an upcoming meeting.
- locates facilities for meetings and negotiates contracts, subject to the President’s approval.
- prepares all agendas and supportive materials for Board of Directors meetings and for the annual business meeting of the membership. Records, transcribes, and distributes minutes of these meetings per Association Management Law guidelines and ensures agendas and supportive materials are distributed in accordance with time frames established by the bylaws or Board of Directors.
- provides all necessary reports, maintains accurate permanent records, and provides other administrative services and support for the Board of Directors.
- compiles the Executive Director’s Report – at all Board of Directors meetings, the Directors will receive a management report presented either verbally and/or in writing by the Executive Director, which will contain a report of the action since the previous meeting.
- Membership:
The Executive Director
- maintains the membership database.
- coordinates the membership application process.
- coordinates data collection activities to identify member needs.
- mails annual membership due notices in May of each year and up to two additional notices for purposes of membership renewal.
- serves as membership contact to the association.
- maintains a database of current Tennessee licensees who are not members of the TAA and solicits membership from the list of non-members.
- Winter Meeting and Summer Convention
The Executive Director will
- make arrangements for the winter meeting and summer convention, duties to include:
- selection of a hotel (and other sites if required), with approval of the President.
- negotiation with sites and facilities for the best possible rates for the association and its members.
- selection of menus and entertainment, with appropriate committee approvals if required.
- selection and booking of the event Speaker, with approval of Education Committee Chairman.
- arrangement of travel and accommodations for the event speaker, as may be required.
- mailing of registration information to the membership.
- performing on-site management of meeting.
- providing assistance to the chairperson of the FUN AUCTION.
- assisting the chairperson of the BID CALLING CONTEST by providing registration forms, rules, contestant numbers, and procurement of awards.
- mailing notices to the members of the Hall of Fame Committee, Past President’s Council and Auction Foundation for upcoming meetings and conventions.
- attending Board of Directors and Past President’s meetings.
- reviewing hotel bills and making payment for all expenses of meetings and conventions.
- National Auctioneers Association Annual Conference:
The Executive Director will
- represent TAA at the national conference if directed by the Board of Directors to attend.
- attend various seminars and functions as directed by the Board of Directors.
- Publications/Public Relations:
The Executive Director
- is responsible for designing, writing and editing the quarterly newsletter with the assistance of the committee; is to determine the best prices for printing all materials; and is to distribute materials to members in a timely fashion. Also, the Executive Director is to maintain an appropriate supply of past issues for public relations and membership solicitation purposes.
- is to solicit advertisements from local, regional, and national vendors, (and especially vendors whose names and addressees have been supplied by TAA members) by mailing media kits and TAA publications. The Board of Directors and committees will furnish the Executive Director with articles as well as advertisement solicitations.
- will send press releases to the National Auctioneers Association relating to TAA events and members. Upon request, the Executive Director will supply pertinent press releases to members for publishing in their local newspapers (i.e., Hall of Fame, Grand Champion Auctioneers Competition, events, accomplishments, etc.).
- will find ways in which to promote the TAA on a local, regional, state and national level, with the approval and participation of the President (i.e., interviews with newspapers, appearances on local television, radio interviews / talk shows, etc.).
- Financial Administration:
The Executive Director will
- maintain a bank account of the sole purpose of payment and receipt of items purchased for the Tennessee Auctioneers Association.
- process and account for all Association funds according to generally accepted accounting principals.
- prepare and mail monthly financial statements to the members of the Finance/Audit Committee.
- prepare quarterly financial statements for Board of Directors meetings.
- prepare semi-annual and annual statements for Membership meetings.
- oversee and maintain all other bank accounts and investments as might be
set up or ordered by the Board of Directors.
- Website:
The Executive Director will
- provide the webmaster with newsletters, upcoming events, meetings and any information beneficial to the membership for publishing on the website.
- provide an updated membership roster quarterly.
